Privacy Policy

Whitechalk is a product of Ironleaf Technologies Pvt. Ltd., Bangalore, Karnataka, India. This page describes how we handle data on whitechalk.co.in and the Whitechalk product.

1 · Overview

Whitechalk helps teachers, schools and coaching institutes run assessment workflows, including paper creation, answer-sheet evaluation, feedback, and analytics.

This Privacy Policy explains what information we collect, how we use it, and the choices available to you. If you use Whitechalk through a school or institute, that institution may have its own policies that apply to you.

We process personal data in accordance with applicable Indian laws (including the Information Technology Act, 2000 and rules thereunder, and the Digital Personal Data Protection Act, 2023 as and when applicable), and other applicable regulations depending on where you are located.

2 · Information we collect

We may collect the following categories of information:

  • Website and sales inquiries: details you submit through forms (for example, name, school/institute, phone number, email address, and message) and basic logs generated when you browse our website.
  • Account and institution information: user names, work email addresses, roles/permissions, organisation details, and authentication information (for example when you sign in with Google).
  • Assessment content: materials you upload or create in Whitechalk, such as question papers, marking schemes/rubrics, model solutions, answer sheets (including images/PDFs), and related metadata.
  • Student data: identifiers provided by the institution (such as roll numbers, names, or class/section) and performance/assessment data generated while using the product.
  • Outputs and usage: evaluated marks, feedback, reports, dashboards, and audit/activity logs associated with use of the service.
  • Support communications: messages and attachments you send us through email, WhatsApp, or other support channels.

The institution (school/coaching institute) is typically responsible for student data and other institutional content. Whitechalk processes such data to provide the service and to support the institution’s use of the product.

3 · How we use it

We use information for purposes such as:

  • Providing, operating, and maintaining Whitechalk, including onboarding and account administration.
  • Processing assessment content to generate evaluation outputs, feedback, reports, and analytics.
  • Communicating with you about service updates, support requests, and operational notices.
  • Preventing fraud, abuse, and unauthorised access, and enforcing our acceptable-use expectations.
  • Complying with legal obligations, resolving disputes, and protecting our rights and users.
  • Improving reliability and quality (for example, debugging errors and measuring aggregate usage), using reasonable safeguards such as minimisation and access controls.

4 · Data retention

We retain information for as long as needed to provide the service, support the institution, meet legal obligations, and maintain operational records. Retention depends on the type of data and the institution’s configuration and instructions.

When an institution requests deletion or when an account is closed, we will take reasonable steps to delete or de-identify data in our active systems, subject to lawful retention requirements and reasonable backup cycles.

5 · Sharing & processors

We do not sell personal information. We may share information with service providers (“processors”) that help us run Whitechalk, for example:

  • Cloud hosting, storage, and content delivery providers.
  • Communication providers (email/WhatsApp) used for support and operational messages.
  • Security, monitoring, and fraud-prevention providers.
  • AI/model providers used to generate parts of the service output (for example, extracting content from submissions or generating feedback), where applicable.

We share data with processors only as needed to provide the service, under contractual safeguards and confidentiality obligations. We may also disclose information if required by law, court order, or to protect safety, security, and our legal rights.

6 · Your rights

Depending on your role and location, you may have rights to access, correct, update, or delete personal information. For student data and institution-managed accounts, requests are typically handled through the school/institute administrator, who controls the account and the content submitted to Whitechalk.

7 · Security

We use reasonable technical and organisational safeguards designed to protect information against loss, misuse, unauthorised access, disclosure, alteration, and destruction. However, no system can be guaranteed to be 100% secure.

8 · Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will post the updated version on this page and update the “Last updated” date. If changes are material, we may provide additional notice as appropriate.
